Keep requests and evidence together

An information request list is the backbone of a TS engagement, but spreadsheet status updates can drift away from the files actually received. A document may answer only part of a request, cover the wrong period or arrive under an unexpected data room index.

Solenor's IRL workflow connects requests with engagement evidence. The objective is to reduce coordination work while keeping the distinction between a proposed match, a reviewed response and a genuinely closed request.

Configure the list before matching documents

Begin with the engagement type, entities, periods and review priorities. Use the teaser, scope of work and your firm's request standards to prepare an initial IRL. The team should review it for omissions and remove requests outside the agreed mandate.

Incoming documents can then be associated with relevant requests through the configured VDR connection or agreed import workflow. Datasite, Intralinks and iDeals connectivity depends on access rights and the selected integration configuration; a logo is not evidence of permission to access a room.

Illustrative example: a Q4 receivables request

The showcase includes a request for a Q4 aged receivables ledger and bad-debt provisions. Simulating a VDR upload associates a sample spreadsheet with that request and displays a source page and extracted figures. The simulation does not upload or analyze your actual files.

In a real review, confirm the reporting date, entity perimeter, aging buckets and reconciliation to the ledger. Receipt of the spreadsheet is not equivalent to validating the provision or closing the workstream.

Prioritize missing information, not just matched files

Use status and priority to distinguish missing evidence from items under review. A high-confidence suggested match should still be inspected for the correct period, completeness and relevance. Confidence is not a professional sign-off.

Search across request wording and linked documents to locate a missing annex or an unresolved question. Keep a clear record of what remains outstanding so the team can prepare focused follow-up with management.

Pilot the workflow with your own review criteria

Agree a manageable set of requests and approved sources with the founding team. Review permissions, deployment, retention and firm methodology before introducing confidential data.

Measure the quality of suggested matches, the clarity of outstanding requests and the effort required to review responses. Do not treat the public demonstration's figures as accuracy guarantees for every engagement.
